AYSO Region 76 (“Region 76,” “we,” “our,” or “us”) respects your privacy and is committed to protecting the personal information of players, parents/guardians, volunteers, referees, coaches, and all individuals who interact with our programs. As part of the American Youth Soccer Organization (“AYSO”), we follow AYSO’s national policies and Safe Haven standards to ensure that information is collected, used, and shared responsibly.

1. About AYSO and Region 76

AYSO is a national nonprofit organization that provides youth soccer programs throughout the United States. Region 76 functions as a local operational unit within AYSO and runs soccer programs in the Beverly Hills community. While Region 76 has operational independence in running our local leagues, practices, tournaments, scheduling, and volunteer programs, we follow the overarching policies set by AYSO National, particularly regarding volunteer screening, data security, and Safe Haven child-protection standards.

Region 76 collects and manages certain personal information to operate local programs. AYSO National oversees national-level systems such as volunteer background checks, training records, and national registration platforms. Information shared with Region 76 may be required to flow to AYSO National to meet safety and compliance requirements.

References to “Region 76” in this policy refer to our local operations. References to “AYSO” refer to the national organization.

2. Scope of This Policy

This Privacy Policy applies to all personal information collected through:

  • The Region 76 website (www.ayso76.org)
  • InLeague (our main registration and scheduling system)
  • AYSO National systems such as SportsConnect/Affinity and eTrainU
  • Digital forms, surveys, or submissions for tryouts, tournaments, and events
  • Region 76 email communications, alerts, and broadcasts

Users from other AYSO regions, such as tournament participants, are also covered. This policy does not apply to external websites we may link to.

3. Information We Collect

3.1 Player Information

To participate in AYSO programs, families must provide personal information that ensures children are safely and properly registered. This includes:

  • Name, date of birth, and gender (for age-division placement)
  • Parent/guardian contact details
  • Emergency contact information
  • Voluntarily provided medical notes that support safe participation
  • Uniform sizes and participation records
  • Registration history and program assignments

Payment information is processed through secure gateways; Region 76 never stores credit card numbers.

3.2 Volunteer Information

Volunteers must complete a national background check per AYSO policy. Information collected may include:

  • Legal name and date of birth
  • Address, phone, and email
  • Photo ID number
  • Social Security Number (encrypted and transmitted only to the screening vendor)

Region 76 cannot view your full SSN or background check details. These are handled only by AYSO National’s Risk Management team.

3.3 Automatically Collected Information

When you visit our website, certain information is collected automatically for analytics and performance:

  • IP address
  • Browser and device type
  • Pages visited
  • Navigation patterns
  • Session cookies for secure login

3.4 Photos and Video

With your consent (via AYSO registration), Region 76 may use photos or videos of players or volunteers for program-related communications. Player identities are not posted alongside photos.

4. How We Use Information

Information collected by Region 76 is used solely to operate, manage, and support our youth soccer programs. This includes:

  • Registration & team formation
  • Safety procedures (e.g., emergency contacts, medical info)
  • Scheduling games and practices
  • Communicating field updates, program announcements, and deadlines
  • Volunteer coordination (coaches, referees, team managers)
  • Processing payments and refunds
  • Tournament and Area 1-P participation

Region 76 does not use personal information for advertising and does not sell or share your information with commercial entities.

5. Who Has Access to Personal Information

Personal information is restricted and accessible only to individuals who need it for their AYSO role:

  • Regional Commissioner & Board Members
  • Registrar
  • Treasurer
  • Coach Administrator & Division Directors
  • Coaches & Team Managers (team-specific only)
  • Referee Administrators & schedulers
  • AYSO National staff
  • InLeague LLC (system support only)

Misuse of any personal information may result in removal of volunteer privileges.

6. Data Storage and Security

Region 76 uses multiple secure systems to manage player and volunteer information:

  • InLeague (primary database and scheduler)
  • SportsConnect / Affinity (AYSO National registration)
  • eTrainU (training and certification)
  • Secure payment processors (for credit card transactions)

Data is encrypted where appropriate, access is role-based, and Region 76 cannot view full payment card numbers or volunteer background-check results.

7. Cookies and Website Tracking

Cookies help maintain secure login sessions for authorized users and support website performance. Cookies do not contain sensitive personal information and generally expire when your browser session ends.

A lighthearted note about “cookies”:

The site uses cookies primarily to comfort the founding webmaster of this site when things all get a bit too much (and other times as well). His favorite are the chocolate chip cookies baked by his wife Fiona. Unfortunately, Fiona employs a special kind of tracking cookie which allows her to tell how many the founding webmaster has eaten, which cookie jar he has had his hand in and other personal information not suitable for public disclosure. The information may be used for purposes of justifying berating him, imposing additional dietary restrictions and other consequences also not suitable for public disclosure. Therefore, we advise discretion in the use of cookies.

8. Email Communications & Opt-Out

Region 76 communicates essential information by email, including schedules, field updates, reminders, and deadlines.

Volunteers

Volunteers must receive volunteer-related communications to maintain program safety and compliance. To stop receiving these messages, a volunteer must first resign from their role.

9. Social Media, Electronic Communications & Safe Haven

Region 76 follows AYSO’s Safe Haven policies regarding electronic communications and social media. These safeguards help protect children and ensure proper boundaries.

  • All communication must be directed to parents or guardians, not minors.
  • Older youth volunteers may receive messages only with parental consent and parents copied.
  • Private conversations between adults and minors are not allowed.
  • Team rosters containing identifying details may not be posted publicly.
  • Photos of minors must not include identifying information.
  • Region social media accounts are monitored to remove inappropriate or unsafe content.
10. COPPA Compliance

Region 76 complies with the Children’s Online Privacy Protection Act (COPPA). We do not knowingly collect personal data from children under age 13 without verified parental consent.

If you believe a child has submitted information without permission, please contact us and we will remove it promptly.

11. Links to Other Websites

Region 76 occasionally provides links to external websites for convenience, such as field conditions, City of Beverly Hills resources, or informational soccer content. We are not responsible for:

  • Content on external sites
  • Their privacy practices
  • Security on linked websites

Users should review those sites’ privacy policies before submitting information.

12. Access, Updates, and Corrections

Parents/guardians may request corrections to their child’s information by emailing:

Verification may be required to prevent unauthorized changes.

Volunteers can request background-check details directly from AYSO National, as Region 76 does not receive or store screening results.

13. Data Retention

Region 76 retains only the information necessary to operate programs, meet AYSO National requirements, maintain accurate historical records, and comply with legal obligations.

Payment card information is never stored by Region 76.

14. Disclosure of Information

Region 76 does not sell, rent, or distribute personal information. Information may be shared only when necessary:

  • With AYSO National for membership or compliance
  • With secure payment processors
  • With vendors who support essential program operations
  • To comply with legal requirements

Sponsors may send information to AYSO families, but they never receive direct access to personal data.

15. Notice of Changes

This policy may be updated periodically. If significant changes occur:

  • A notice may be posted on the Region 76 homepage
  • The “Last Updated” date will reflect changes
  • Families and volunteers may be notified by email when appropriate
